Service Technologies, Inc. (“Service Technologies,” “Company,” “we,” “us,” or “our”) provides ServiceHub®, a field service management platform for service dispatch, claims management, parts and delivery coordination, and virtual visits. This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our website at www.servicehub.live, our ServiceHub web and mobile applications, and related services (together, the “Services”).

ServiceHub is a business-to-business platform. Most individuals who interact with the Services do so as employees, technicians, contractors, or representatives of our business customers, or as the end customers those businesses serve. This policy describes our practices in both of the roles we play with respect to personal information, which are explained in the next section.

By using or accessing the Services, you accept the practices described in this Privacy Policy. If you do not agree, please do not use the Services. Each time you use the Services, the current version of this policy applies, so please check the Effective Date above when you return.

Our Two Roles: Controller and Processor

Privacy laws distinguish between a party that decides why and how personal information is processed (a “controller” or “business”) and a party that processes personal information on behalf of, and under the instructions of, another party (a “processor” or “service provider”). Service Technologies acts in both capacities, and which one applies determines whose privacy practices govern.

Service Technologies as a Controller

We act as a controller for the information we collect for our own purposes, including information about visitors to our website, individuals who register for or administer a ServiceHub account, and individuals who contact us, request a demonstration, or transact with us. This Privacy Policy governs that information.

Service Technologies as a Processor (Customer Data)

Our business customers use ServiceHub to run their own service operations. In doing so, they upload, generate, or transmit information through the platform, which may include details about work orders, claims, jobs, parts, and the businesses’ own end customers (“Customer Data”). With respect to Customer Data, our business customer is the controller and Service Technologies is a processor or service provider. We process Customer Data only to provide and support the Services, in accordance with our agreement with that customer, and we do not use Customer Data for our own independent purposes such as marketing.

If you are an end customer of one of our business customers and you have questions about how your information is handled, please contact that business directly. Their privacy practices, not this policy, govern their collection and use of your information. A data processing addendum is available to business customers on request.

Information We Collect

Information You Provide to Us

We collect information you provide directly, including when you register for an account, configure the Services, communicate with us, request support, or transact with us. This may include:

  • Identity and contact details, such as name, business name, job title, email address, mailing address, and telephone number.
  • Account credentials, such as username and password.
  • Billing and payment information, such as payment method, billing contact, and related financial details. Card payments are processed by our payment processors; we do not store full card numbers on our systems.
  • Communications you send to us, including support requests, feedback, and correspondence.

Information We Collect Automatically

When you use the Services, we automatically collect certain technical information, which may include:

  • Log and usage data, such as Internet Protocol (IP) address, browser type, operating system, referring and exit pages, pages viewed, features used, and the dates and times of access.
  • Device information, such as device type, model, manufacturer, and device identifiers, primarily for our mobile applications.
  • Approximate location derived from IP address, used to understand general usage and to support security.

We use cookies and similar technologies to collect some of this information. See Cookies and Similar Technologies below.

Customer Data

As described above, we process Customer Data on behalf of our business customers. We do not control what a business customer chooses to put into the platform. We handle Customer Data under our customer agreements and applicable law, and not under the controller provisions of this policy.

Cookies and Similar Technologies

Cookies

A cookie is a small text file stored on your device that a website can read on later visits. We use cookies that are necessary to operate the Services, such as keeping you logged in, remembering your preferences, and supporting security, as well as cookies that help us understand how the Services are used so we can improve them. You can set your browser to refuse cookies, but certain features of the Services may not function properly without them.

Web Beacons

A web beacon is a small object embedded in a web page or email, often invisible, that lets us know whether a page was viewed or an email was opened. We may use web beacons to measure engagement with our pages and communications. They collect a limited set of information, such as a cookie identifier and the date and time of a view. Declining cookies, or setting your browser to notify you when a cookie is offered, limits their effectiveness.

Analytics

We use analytics providers, which may include Google Analytics, to measure and understand traffic and usage so we can improve the Services. These providers use cookies and similar technologies to collect usage information on our behalf. We use analytics for measurement and product improvement, not to build advertising profiles or to serve interest-based ads. You can opt out of Google Analytics by installing the Google Analytics opt-out browser add-on.

Do Not Track and Global Privacy Control

Some browsers offer a “Do Not Track” (DNT) signal. Because there is no common industry standard for how to interpret DNT, the Services do not currently respond to DNT signals. We do, however, honor the Global Privacy Control (GPC) signal where required by applicable law, and we treat a valid GPC signal as a request to opt out of any sharing of personal information for cross-context behavioral advertising, to the extent such sharing would otherwise occur.

How We Use Information

As a controller, we use the information described above to:

  • Provide, operate, maintain, and secure the Services, and deliver the products and services you request.
  • Create and manage accounts, authenticate users, and provide customer support.
  • Process transactions and send billing, account, and service-related communications, including administrative messages and security notices.
  • Understand how the Services are used, and develop, improve, and add features.
  • Communicate with you about the Services, including updates and offerings that may be of interest, subject to your communication choices.
  • Detect, investigate, and prevent fraud, abuse, security incidents, and other unlawful or unauthorized activity, and to protect our rights, property, and users.
  • Comply with legal obligations and enforce our agreements and policies.

We may also use information in de-identified or aggregated form, which cannot reasonably be used to identify you, for analytics, benchmarking, research, and reporting. We maintain such information in de-identified form and do not attempt to re-identify it except as permitted by law.

How We Share Information

We do not sell your personal information. We share personal information only in the following circumstances:

Service Providers and Subprocessors

We share information with vendors and service providers who perform services on our behalf, such as hosting, payment processing, analytics, communications, and customer support. These providers may access personal information only as needed to perform their functions for us and are contractually prohibited from using it for any other purpose.

At the Direction of Our Business Customers

Where we process Customer Data as a processor, we share or disclose that data as instructed by the relevant business customer and as described in our agreement with them.

Legal Requirements and Protection of Rights

We may disclose information when we believe in good faith that disclosure is necessary to comply with applicable law, a subpoena, court order, or other legal process or government request; to enforce our agreements and policies; to investigate or prevent fraud or other wrongdoing; or to protect the rights, property, or safety of Service Technologies, our users, our employees, or others.

Business Transfers

If Service Technologies is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of its assets, information may be transferred as part of that transaction. The use and disclosure of transferred personal information will remain subject to this Privacy Policy unless and until it is amended, or you are notified of and, where required, consent to a new policy.

No Sale or Targeted Advertising

We do not sell personal information for monetary consideration, and we do not share personal information with third parties for cross-context behavioral or targeted advertising. The Services are not an advertising platform.

Mobile Applications

If you use our mobile applications, the following additional terms apply.

Device Information

We may collect device information such as device identifier, model, manufacturer, operating system, version information, and IP address, for purposes such as authentication, security, support, and analytics.

Location Information

ServiceHub supports field service operations, which can require location functionality such as job routing, dispatch, and visit verification. Where the application uses precise location (for example, GPS or network-based location), it does so based on the permissions you grant through your device, and to support those service functions. You can enable or disable location permissions at any time through your device settings, although disabling them may limit certain features. Separately, we may infer approximate location from an IP address.

Push Notifications

We may send push notifications for messages and service-related matters if you choose to receive them. You can turn push notifications off in your device settings.

Mobile Analytics

We use mobile analytics to understand how our applications perform and are used, including frequency of use, in-app events, aggregated usage, and performance data. We use this information for measurement and product improvement.

SMS and Text Messaging Terms

Service Technologies, Inc. sends service-related text messages, including appointment confirmations, technician and scheduling updates, service order status, and replies to inquiries, to customers who provide their mobile number when scheduling service. By providing your mobile number, you consent to receive these messages.

  • Message frequency varies. Message and data rates may apply.
  • Reply STOP to unsubscribe at any time. Reply HELP for help, or call 888-744-5514.
  • Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.

Data Retention

We retain personal information for as long as needed to fulfill the purposes described in this policy, unless a longer period is required or permitted by law. To determine how long to retain information, we consider the nature and sensitivity of the information, the purposes for which we process it, the duration of our relationship with you or our business customer, our legal and contractual obligations, and our legitimate business needs such as security, fraud prevention, dispute resolution, and recordkeeping.

When information is no longer needed, we delete it or de-identify it. We may retain certain records to prevent fraud, resolve disputes, troubleshoot, enforce our agreements, and comply with law. As a result, some information may persist in backups or records for a limited period after deletion from active systems. Customer Data is retained and deleted in accordance with the applicable customer agreement.

Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. No system is perfectly secure, however, and we cannot guarantee the security of information transmitted to or from the Services. You are responsible for keeping your account credentials confidential. If you believe your account has been compromised, please change your password and notify us promptly.

Your Privacy Rights

Depending on where you live and which laws apply, you may have some or all of the following rights with respect to personal information that we process about you as a controller:

  • Right to know or access. Request confirmation of whether we process your personal information, and access to the categories and specific pieces of personal information we hold, the sources, the purposes, and the categories of third parties with whom we share it.
  • Right to correct. Request correction of inaccurate personal information.
  • Right to delete. Request deletion of personal information we have collected from you, subject to legal exceptions.
  • Right to data portability. Obtain a copy of certain personal information in a portable and, where technically feasible, readily usable format.
  • Right to opt out. Opt out of the sale of personal information and of sharing for targeted advertising or profiling that produces legal or similarly significant effects. As noted above, we do not sell personal information or share it for targeted advertising.
  • Right to limit sensitive information. Where applicable, direct us to limit the use of sensitive personal information to what is necessary to provide the Services.
  • Right to non-discrimination. Exercise your rights without receiving discriminatory treatment.

How to Exercise Your Rights

To exercise these rights, contact us at service@servicetechnologies.com or by using the contact details at the end of this policy. To protect your information, we will take reasonable steps to verify your identity before responding, which may include confirming information associated with your account. You may use an authorized agent to submit a request on your behalf, subject to verification of the agent’s authority. If you are an end customer of one of our business customers, we will refer your request to that business as the controller of the relevant data, or handle it at their direction.

Appeals

If we decline to act on your request, you may appeal that decision by replying to our response or contacting us at service@servicetechnologies.com with the basis for your appeal. We will respond within the time required by applicable law. If your appeal is denied, you may have the right to contact your state attorney general.

State-Specific Disclosures

Several U.S. states, including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and Montana, have comprehensive privacy laws that provide residents the kinds of rights described in the section above. We honor verified requests from residents of states whose laws grant these rights. The following points are specific to certain states.

  • Under the California Consumer Privacy Act, as amended, California residents have the rights to know, delete, correct, and opt out described above, and the right to non-discrimination. We do not sell personal information and do not share it for cross-context behavioral advertising. We honor Global Privacy Control signals as an opt-out where required.
  • Nevada residents may submit a request to opt out of the sale of certain personal information. We do not sell personal information as defined under Nevada law.
  • Virginia and other states with appeal rights. Residents of Virginia, Colorado, Connecticut, and certain other states may appeal a refusal to act on a rights request, as described under Appeals above.

International Users

The Services are operated in the United States and are subject to U.S. federal and state law. If you access the Services from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States. By using the Services, you consent to that transfer and processing in accordance with this Privacy Policy and applicable law. Please use the Services only in a manner lawful in your jurisdiction.

Children’s Privacy

The Services are intended for business use and are not directed to children. We do not knowingly collect personal information from children under 13, consistent with the Children’s Online Privacy Protection Act. If we learn that we have collected personal information from a child under 13, we will take appropriate steps to delete it. If you believe a child has provided us personal information, please contact us using the details below.

Third-Party Sites and Services

The Services may link to, or integrate with, websites and services operated by third parties, including integration partners. We do not control those third parties and are not responsible for their privacy practices. This Privacy Policy does not apply to information you provide to, or that is collected by, third parties. Review the privacy policies of any third party before providing it with personal information.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of this policy and post the updated version on the Services. If changes are material, we may provide additional notice, such as by email or through the Services. Your continued use of the Services after an update takes effect constitutes acceptance of the revised policy, so please keep your contact information current and review this policy periodically.
